Detailed Sales Report Question

For some reason, on our detailed sales report, the cost and profit are not accurate. I think I've narrowed the problem down to returns because every time we have one, the report shows a negative on Qty sold and total sales, but it still shows the same cost and profit as a sale for that item.

As an example, I had a customer buy a charbroiler and return it later that day to buy a bigger one. The Detailed Sales Report shows the first transaction with this information...

Qty Sold: 1 Sold Price: 995.00 Total Sales: 995.00 Cost: 694.35 Profit: 300.65

Then, the return shows up with this...

Qty Sold: -1 Sold Price: 995.00 Total Sales: -995.00 Cost: 694.35 Profit: 300.65

So, for the two transactions, we have a total of...

Qty Sold: 0 Total Sales: 0 Cost: 1388.70 Profit: 601.30

Any ideas how to fix this?

There's a corrected report on customersource. I asked this same question a couple of months ago and since nobody repied with an answer a MS tech answered with using the corrected report. However when I ran the report the toal profit and margin at the top are still incorrect. When I explained this to the rep his reply was that it was impossible on an active report to have this calculated correctly. So the individual item profit % is correct the total % at the top of the report isn't. I could have swore that there was a truly fixed report posted here a while back but I can't seem to find it, and nobody has posted one since. Craig

You cannot summarize the profit percent column as that will average the margin row entries listed, not the COGS. This is a limitation of the Active report controls in RMS. Active reports are limited to columnar format calculations. They are not cell based formulas like Excel.

You have several options to resolve this issue.

Option A: Design the Active report to calculate entries such as average margin in a view then display this data from the view table. For examples install the Custom Reports Bundle included with our RMS Toolkit trial. Reports will be listed under Manager, Reports, Custom. These reports are free to download and keep. Any report titled Profit will properly calculate the average profit margin, but you cannot drag and drop this column or group it otherwise. There are other examples on CustomerSource in the RMS Reports Library.

Option B: Export the raw data to Excel from an Active report and apply formulas in Excel to properly calculate the average margin for summed columns.

Option C: Calculate this data in a Crystal Report sub-report. For examples install the Custom Reports Bundle included with our RMS Toolkit trial. Reports are listed under Manager, Utilities, Crystal Reports, DRS EOD or Sales Summary Report. These reports are free to download and keep. Note: Since RMS does not support Crystal sub-reports natively, this type of report must be run on your RMS server with servername set to (local) in Store Operations Administrator, File, Configuration.
