Question about FUTA and individual payments

The company I work for is going though some cash flow problems and as a result the bank has returned several of our weekly 941 payments (made through EFTPS if it matters) for the third quarter. Can I simply void the transactions in Quickbooks so that my quarterly filing matches the missed payments? My concern is that QB isn't quite smart enough to match up the voided payments with the periods in which they were due.



Also, if anyone knows, since we must use EFTPS, can we even write a check to go along with our Quarterly 941 filing for the missed payments or will I need to make that payment online through the EFTPS system?


Well the more I think about it the more I realize that it doesn't matter if QB knows which pay period the payment was for as long as it keeps it in the right Quarter... but is Voiding the payment the way to go?

You can void the payment in QB. This will bring the liabilities back to where they belong. Just generate a new payment for the correct reporting period or month.

If your total quarterly liability is under $2500 you can get away with sending a paper check for your balance with the 941. If it is over $2500 then you must use eftps to process your payments.

As an FYI, it is faster to process payments through the eftps system. You can have the payment post to your account in a matter of days. A paper check takes weeks to go through their system. If any of those rejected payments were for prior months then you definitely should process the payment through eftps. If you are a monthly depositor then your September payment is also late so you should probably process that payment through eftps to avoid any additional late fees and/or interest.

Thank you for the assistance, though I have one more question if you don't mind. Since I'll need to make the payment via eftps, do I need to complete it before I actually file the 941 so that I can show no payment due? I ask because the 941-V seems to be only for those submitting payment via check and I don't see anywhere on the 941 to indcate that I will pay what I owe via eftps.

Never mind... I found my Publication 15 :-)

I always create the payments in QB prior to creating the 941 form. That way the form will pick up all of the payments. I can't remember but you may be able to override the amount that QB says is paid. Just right click on the field and if allowed, you will see an "override" option.
