Restricting Access to a Given Range

For the last decade or so, any special accounting needs (including taxes) have been done by an uncle who recently passed. That aside, I am about to let a new accountant have a go at my taxes and such, but I have one large file that goes back 9 years. I really don't feel good about giving that much of my life to a stranger. Is there any way that I can restrict his access to the transactions and data preceding a certain date (in this case, the last year or 2, as is necessary)?

  1. Make a copy of your file. Read the HELP about condensing and take all the preparatory steps recommended to optimally condense the data, then condense prior to the date you choose. This won't completely restrict his access to the earlier years, but it will reduce the details that he can see.

Yes, I've been digging into help about that and also about "closing my books" and about adding a user and restricting access. I made a copy of my file and tried the new user with restrictred access route, but couldn't restrict the date range. Also, closing the books didn't seem to accomplish anything. I still have full access to all dates (just can't edit closed transaction). Condensing is good, but I'd really like to restrict access to all data pre-existing a date I set.

I saw that mentioned in another thread and have checked that out. It won't work with 2004 basic (which is my version). I am willing to upgrade to 2006 pro if it will do what I need, but the description doesn't specify that it applies to my needs. Beginning balance transfer util is also somewhat ambiguous, but maybe it might serve my purposes. If you are familiar with these, Any information you can give is appreciated. I'll also email them with these questions.

If you're not comfortable with your accountant, that should put paid to the relationship.

I recommend a tax attorney. At least they CAN'T snitch you out.

Sorry, I'm not familiar with Karl's Data Transfer Utility.

And I agree with HeyBub - why are you dealing with an accountant that you don't trust? What are you afraid that he might find? If there is something to hide, consult a lawyer - and have the lawyer hire an accountant so that the accountant will be subject to the same "privilege" as the lawyer.

Well, thanks for the effort. I did send an email to Karl, so I should know prety soon what they are capable of.

It's not "don't trust", it's "don't know". Trust is earned, data is sensitive.

thnx, Rob
