GL Account Assignments

Can anyone send me a sample copy of a GL Assignment. I just can't get it to balance out. Please send me a copy of one that currently works with Quickbooks so I can figure out how to get this done.

That is a bit of a challenge as the Accounts you have set up would likely vary a great deal from another setup. Here are a couple of general rules I have found helpful:

  1. Creat three new accounts in Quickbooks for RMS Sales Tax, RMS Accounts Payable (use other liability type in QUickbooks), and RMS Account Receivable (Other asset type). Do not use a QB Accounts payable Type of account in the Mappings.

  1. Realize that many mappings have only a dr or a cr and not both. You will need the spreadsheet from a MS Partner to know which ones.

  2. Recognize that there are varying levels of detail to which you can post and you cannot use two different methods at once, again refer to the spreadsheet from your MS partner.

Don't feel bad, it took me days to figure out the first one, hours to figure out the second, and still take a few minutes of scratching my head to remember how it all works. This is 1 part CPA stuff, One Part MBA stuff, and one part Geek stuff so it can be a real challenge.

If you use the default Acounts Payable account in QB it requires a name be entered so RMS won't post correctly. You need to setup a new Accounts Payable so that RMS can post without errors. Craig

We were explained by our RMS seller that QB can be integrated into RMS. At least for the QB 2003 onwards. On the SOM, I recall there is a Tab for "Accounting", then you choose QB. It will search for a running QB instance, and when found it will show the version. QB will prompt whether to allow RMS to update/edit its database. Then on Utilities, you can import GL data to QB, as RMS-QB ledger tables are preset according to the type of operation (i.e. retail. wholesale, accounting) you have configured your QB to run first-hand. I'm not very clear on this one but I sure wish we had QB alongside RMS.

We have found that the Account Assignment Table in Help ( RMS 2.0) is inaccurate. And have produced our own document that we tested for posting accuracy in QuickBooks. Post a reply to this thread and request a copy of our pdf doc.

Also, we advise against posting receiving to A/P as it is not very workable in 2.0 and we are hoping that this gets greatly improved in the next version
