Report question

Hi is there a way on the sales reports to combine the items together, so instead of this

Store 1 Food Pop 1coke Can of Coke 1 0.99

0.99 Store 1 Food Pop 1coke Can of Coke 1 0.99 0.99 Store 1 Food Pop 1coke Can of Coke 1 0.99 0.99 Store 1 Food Pop 1coke Can of Coke 1 0.99 0.99 Store 1 Food Pop 1coke Can of Coke 1 0.99 0.99 Store 1 Food Pop 1coke Can of Coke 1 0.99 0.99

You could have it just show this

Store 1 Food Pop 1coke Can of Coke 6 0.99

Yes there is ... They forgot to add it as default method ... All you have to do is to drag first column to second position and then back ... I tried it, it works ... Unfortunetely you will have to do it every time, or you have to edit report tampletes manualy ... I really don't like editing it manualy ...

Which columns do you mean at the top of the report I have

Store name, department, category, item, description, Qty sold, sold price and total sales

I tried moving the Qty sold to where the Store name is then tried to group the columns but that didn't work. Which columns do I move where?

You have to move Store Name to department place , and then move it back to it's regular place ...

The report I run (in RMS) is a detailed sales report with columns headed Department, Category,Item#, Description,Qty Sold, Sold Price & Total Sales. It lists each sale separately as in the example from Yuma. Would your solution work here? If so, which columsn would you switch?

I can hardly believe that RMS does not total up the sales of a distinct item automatically, but that is apparently the case.

You have the option to group on columns from 1 thru 3 in an RMS report. If you move the column you want to group by to the first column you should be able to get totals. Play with the settings for SELECT COLUMNS TO GROUP and COLLAPSE GROUPED ROWS. Then by moving the columns you need to group to the left 3, you should be able to get what you need. For example: If you want totals by item, put item # in the first column and select group on 1 column - then collapse grouped rows.

WOW!!!!!!!!! Thank you so much. I have been struggling with this for almost a year; was directed here to a custom report that I could never figure out how to download; got no help from my RMS tech (who's knowledge is apparently limited) or from the sales guy who sold me RMS.

I've spent most of the last 25 years in retail and absolutely could not believe that anyone could write a program that's basically as good as RMS and NOT allow for totals of item sales. If this is buried somewhere in the 500+ pages of RMS documentation I've never been able to find it.

So............. now I've run the report with collapsed rows and it's great, except......... there are ways I'd like to Excel, but what was collapsed in the RMS report is expanded again in Excel (each sale is listed separately as before the collapse). I can go in and cut out all the detail in Excel, but there are hundreds of items. Any ideas on this......... if it's not taking advantage.

When you export, be sure to uncheck the box "export hidden rows" and that's it!

May I ask how you learned that the reports would do that? I can't recall seeing anything in the docuemntatioj of help screens to suggest it, and my sales guy and RMS troubleshhooting guy certainly have never given me that, though I've asked the question several times.

I started by looking at most of the available reports to get an idea of what / how things could be done first. Then (and ongoing) pick up bits & pieces of advice from this group and CustomerSource. Last, spend time playing with it to find out what you can make it do! If you can find a report that already has the data fields you need, the hardest part is done.

Finding out you could drag the columns around - that opened a lot of possibilities. Once you get the hang of grouping and collapsing you can usually get what you need. Also, in case you haven't discovered, right click on a report for SHOW/HIDE COLUMNS to add or remove fields.
