"Batch" assignment of email addresses to contacts

I have approx. 1,700 accounts in QB. I need an easy way to assign an email address to each account (we have this in another file).

We have a number of outside sales reps and have assigned a number of accounts to each rep. We want to email a copy of any invoices to the rep responsible for that account so that they know what is happening (we have service centers where customers drop in and get equipment repaired and buy accessories or upgrade equipment). We would like to associate the reps email address with their accounts and then have the service people simply email the invoice to them. However we don't want to manually go through all the contacts and do it by hand.

We have thought about exporting the contacts to excel and using a look-up table to merge them and then importing everything back.

Any other ideas?

That may work. Also, if you have a database program like Access or FileMaker Pro you should be able to accomplish the same with ODBC drivers.

I meant to ask in the above post why your company doesn't just use the Sales Rep field? You can enter this information via Excel, you can also add the Sales Rep column to the Open Invoices by Customer and A/R Detail reports.

I have used that same technique to do similar things in the past. It should work.

One cautionary note, backup your QuickBooks file before you do anything that affects 1,700 names, just to be safe.

We use the Sales Rep Field now. That is what I would use as the key to input the reps email into the email field.
