Customer Deletion Question

I would like to know A) How to figure out how many mbs my program is taking up as it seems rather large and B) I have two separate companies - how do I delete customers prior to December 31, 2003? I would like to delete them together and not all separately as this is too time consuming. Thank you... Terri

A) Do CTRL-1 that will tell you how large your data file is

B)Deleting customers (or accounts) is not permitted if they have transactions associated with them, not a good idea. You can make them Inactive, (the same goes for accounts). To do this en masse I would export the customer list to an IIF file, and edit it in Excel, and import it back in after modifying the Inactive column. (Makes sure to backup before doing any imports into your data file)

However, using the Archive and Condense feature you can remove unused customers, accounts, etc prior to 12/31/2003 automatically as well as make your data file smaller. Have you tried this feature?

I have not tried Archive but I have a question regarding this as well: I have accounts that have been purchasing from us since 1999 and are still active today. If I archive all those prior to 12/31/2003, won't those customers be archived and therefore their info from 1/1/04 to today disappear? Terri

Do a gradual archive thusly:

Verify your data file. Backup your original file. Give it a name like YE1999. Archive and condense to December 31 of the FIRST YEAR only. EG. Dec

31 1999.

Verify AGAIN. Backup AGAIN giving that file a name like YE2000. Archive and condense to Dec 31 THE NEXT YEAR only. EG. Dec 31 2000.

Verify AGAIN. Backup AGAIN giving that file a name like YE2001. Archive and condense to Dec 31 2001.

Verify AGAIN. Backup AGAIN giving that file a name like YE2002. Archive and condense to Dec 31 2002.

Verify AGAIN. Backup AGAIN giving that file a name like YE2003. Archive and condense to Dec 31 2003. Verify AGAIN one last time.

IF ANY OF THE VERIFY PROCEDURES FAIL DO NOT PROCEED TO ARCHIVE AND CONDENSE.

LEAVE 2004 ALONE.

The different names for the backedup files is so you can easily find and restore your condensed data from previous years if you want to view transaction details of what has been condensed.

Considering QB is reading this forum, are we asking for a archive and condense all items marked inactive?

Yes and while they are at it, give the end users a voice interface and true artificial intelligence. As for me, a shot of whiskey and fresh horses for my men will suffice.
