Quickbooks Premier

At my local Temple, we have Quickbooks Premier - Non Profit Edition. Donor Receipts are printed by the Treasurer for donations and handed to donors on the spot.

What bothers some of us is that there seems to be a flaw in the Quickbook design which the Treasurer could use to his advantage in embezzeling funds from the Temple, it he wants to.

After he prepares the donor receipt and hands to the donor, the latter assumes that his donation is officially the Temple's. But the problem is that the Treasurer could easily pocket the money and "Clear" the Receipt Screen after printing the Receipt without ever doing "Save & Close" or "Save & New." If you do NOT save, the transaction does NOT get posted to the accounts (Undeposited Funds & Cash Donation) and no will ever know there was a donation made.

Are we missing a point somewhere? Is there a "fix" or "control" that would prevent from something like this happening.

Yes you are missing a point. don't hire a gonif for treasurer.

I think Allan's advice is probably the best. One thing you could do is; at the end of the year, send out statements (or reports) to individuals listing out their contributions. Make a note saying if this doesn't match, please give us a call or something of the sort. Granted, you would be pretty much relying on your donors to reconcile for you, which is why I would agree with Allan's point being the best.

To answer your question explicitly, no I don't think there are any controls that would prevent that.

Besides, there is no way to prevent him from scanning in a blank form, adding a little text and printing it out all without ever opening Quickbooks. If someone is going to steal, they'll find a way. Oh I suppose you could put a surveillance camera on him.
