Manual Tax Table Update

Jack Sprat,

Back in 2004, you were assisting some Googlers on how to configure Peachtree Complete Accounting tax tables manually; I have done everything you mentioned but my system will not allow me to save the changes. When I tried, I got the error message:

The tax table you just modified or created cannot be saved in Maintain Global Tax Tables because the tax year (2002) for the table is later than the currently registered payroll tax service (2001). To add a

2002 tax table, you must either purchase and register for the 2002 Peachtree Tax Service or enter the table in Maintain Company Tax Tables.

I cannot delete the GLOBAL TAX TABLE or change any date that says it is not the 2002 version without causing the system to malfunction. When I recreated the Federal and NC State sections updated to2005, in the COMPANY TAX TABLE, the system still refused to recognize the 2005 tables. If I try to write a payroll check, an error message displays:

Only payroll checks with dates 2002 or the following year are allowed.

I went through the process of closing out the 2002 payroll year (and of course was forced to close the fiscal year too) and years leading to the current tax year but still no change. While all the other system dates are current, the system still shows that I am still in the 2002 payroll year!

My problem may be bigger than just changing yearly numbers per category or limits in the formula block. It may be due to the fact that I have the 2002 version and trying to input 2005 but I don't know what the problem is and customer service will not even hear complaints about the edition since it is so old.

The Bottom Line is this: What must I do, short of just buying the 2006 upgrade, to change my 2002 payroll year to 2005 so that payroll checks can be written?

NEED HELP!!

I don't use manual tax tables but my understanding is you need to recreate/update all the global tax tables as company tax tables. You did this. However, PT looks at global tax tables first so is finding the outdated tax tables instead of the new ones created in company. You need to delete the tax tables in global therefore only using company tax tables. PT should then find your updated tables.

Be sure to make backups so if something messes up you can recover.

John,

Thanks for your response. Deleting the GLOBAL TAX TABLE(S) was tried and I received the first error message I listed in my first posting. PT just won't allow me to delete the GLOBAL file or any of the tables within it without the system malfunctioning. I know there is a solution but there is just something I'm missing / not doing! What is it???

What does it mean 'causing the system to malfunction'? Are you referring to the error message mentioned just prior to this statement?

Check and see what payroll periods you have opened. This message doesn't have anything to do with the tax tables but rather the date of the check being entered. Peachtree allows two years to be available at one time. If you are entering a date outside this range this message will appear.

Again, 'system malfuctioning'. You are referring to the error message that begins...

"The tax table you just modified or created cannot be saved in Maintain Global Tax Tables because the tax year (2002) for the table is later..." ?

Make sure your Tax ID and Tax Name are properly named. PT will not find the proper formula if naming is not correct.

i.e.: Tax Id: FIT M5

John,

to the error message mentioned just prior to this statement?"

No, not the error message prior to your statement. The error message I'm referring too says the GLOBAL file is missing (this is when I delete the GLOBAL [taxtable.dat] file altogether). When I say malfunction, I mean nothing involving payroll will function anymore.

have anything to do with the tax tables but rather the date of the check being entered. Peachtree allows two years to be available at one time. If you are entering a date outside this range this message will appear."

As I mentioned before: I went through the process of closing out the 2002 payroll year (and of course was forced to close the fiscal year too) and years leading to the current tax year but still no change. While all the other system dates and FISCAL YEAR are current (even with the current check date), the system still shows that I am still in the 2002 PAYROLL YEAR!

Global Tax Tables because the tax year (2002) for the table is later..." ? Make sure your Tax ID and Tax Name are properly named. PT will not find

the proper formula if naming is not correct."

The TAX ID and TAX NAME mimic the GLOBAL TAX TABLE entries exactly for the fields I need changing only the suffixes and in the formulas, the limits:

Federal & State; All filing statuses; Formulas and Tables were modified and updated in accordance with IRS Publication 15; Employer and Employee

My Company tables look just like the Global with the exception of the year changes.

John, I tremendously appreciate your assistance but I think there may be some ADDITIONAL files that may require modification too. Files that note whether, or not, I registered for their tax service, or files that list the current version, etc., etc. It seems Peachtree has imbedded numerous roadblocks, to prevent one from performing the task I require, when skipping several years.

True, the basic task of manually updating tax info may work for a tax year immediately following a current year but as we are learning, there may be something we are missing. Thanks again.

I typically copy the taxtable.dat from bellweather to my company. You should also insure that you have the latest update for the peachtree software. check my website for the update to 9 if you need one. if you don't need it peach will tell you when you try to load it. look at my internet special if you are based in the IS and call me if this doesn't help

This is a problem (but not the only one - read on). You should not delete this file! Only delete the codes, not the file. Maybe someone can verify whether even this is needed since the codes you need are for years you can't add to Global but have entered into Company.

If done correctly, the only errors you should get is ones stating a certain formula can not be found. And this should only show for codes missed when updating Company.

OK, say you had year 2002 and 2003 open for payroll. (I'm assuming this as otherwise why the need to close 2002?). Upon closing, year 2003 and 2004 will be your current payroll years. Fiscal year could easily be 2004 and

2005 and payroll be behind one year. Once again, based on the message you are receiving, you must be entering a payroll check date in a period not open for payroll.

Are you making reference to the error message or did you check your payroll periods?

To check, go to Tasks, System, and select Year End Wizard. (This is for PT v2002, you don't mention what version you are using) The first screen will show current open years. It will list the two open fiscal years and the two open payroll years. Verify payroll is open for 2005. If it is, just cancel. If it isn't then payroll will have to be closed again. If fiscal is already set for 2005 then the wizard will allow you to move payroll forward independently of fiscal. Make backups!

Don't give up yet. I've identified two problems. Both can cause problems.

I'm not aware of any roadblocks put in by Peachtree (other then the one you are working around right now). If fact, PT ships new versions with sample data set two years in advance.

Other than the global tax table being improperly deleted, the error messages you have provided so far indicate that Peachtree hasn't even tried to access your custom tax codes in company yet.

Hope you get things ironed out.
