How vouchers are tendered and recorded

I'm having trouble understanding how RMS tenders vouchers when they are redeemed. It seems to add the redeemed voucher amount to that days total sales amount; however when the voucher was originally purchased it also added the amount to that days total sales. It seems to double the voucher amount (once when issued and again when redeemed) and record it in total sales.

This overstates our total sales by the amount of vouchers redeemed. What am I missing?

You are not missing anything, this is how RMS (incorrectly) handles Vouchers. A solution would be to create a Department called Vouchers and have your voucher items assigned to that department. Then in you accounting software make that Department a liability. So when you issue the voucher it does not appear in your sales in your accounting software. You can also exclude that Department from any of your sales reports.

I am in the process of setting up vouchers for our store using Gift Cards we will have professionally printed and barcoded. We looked into other solutions, like Mercury, but the catch is having to change Merchant Services and Costco has everyone beat. Costco's gift card program, imho, sucks, so we are taking Rick's (of Allied Business Solutions) advice and just doing it ourselves. At 50 cents per gift card and no other costs, that's pretty hard to beat.

Insofar as the accounting goes, there's a LOT of dialog if you search this newsgroup and an EXCELLENT bit of advice in the Knowledge Base. Fundamentally, I think the best way to look at it is to create a separate sales account for vouchers and then create a modified sales report that EXCLUDES vouchers from sales. Then create a tender type called Vouchers or Gift Cards (you get the point) and use that, obviously, when they are presented for use.

I don't want to flog a dead horse, so please see the relevant KB article and the other discussions (search on Vouchers and Gift Cards in this group, and Voucher in the KB).

For a single store, doing it yourself using the voucher system seems truly hard to beat.
