Importing sales from a web site

Hello,

I've been asked to export sales transactions from a web site into a format suitable for Quickbooks to import, and am wondering if any others here have done something similar and can offer advice.

I read the information in the Quickbooks help about generating a tab- delimited file, which seems reasonably easy. But a few issues come to mind right off the bat. For example, do I have to specify the items sold by number, or by name? Does the customer need to already exist in Quickbooks or will the import process create the customer? What if the same customer places several orders; will Quickbooks match them up by name, or generate a new customer each time? What if the item they bought on the web site is not already listed in Quickbooks' items list?

I'm sure there are others who must have tried this and other issues which have come up.

Is this even a feasable thing to do, or should I just forget it? I know there is a more advanced API available which I could use, and I've looked at it, but it appears to be beyond the scope of the time I've been allocated to do this project.

Thanks, Frank

Frank,

I am involved in a project to update QuickBooks via orders placed via the web. I have spent a great deal of time with the web designers in the exact format of the information, the flow of information, who is responsible for different aspects. The flow chart took as much time as design, lol.

There are many compromises you will have to live with importing the transaction via an import. QB does have add-on programs to input transactions, and perhaps you can find one that meets your needs (my needs were simple, so I didn't look very hard)

Thanks, I appreciate the reply.

Unfortunately, I'm not really in a position to use an add-on program because I work for a web development company. We do web sites on behalf of external customers who run Quickbooks. My job is to provide the customer with a file that he can import using the Quickbooks software he already has, it would be impractical for me to buy a copy of an import program for each customer, or require that they buy it themselves.

Is there somewhere I can learn more about how to use the built-> Frank,

Hi Karen,

I actually work for a web site development company. We do web sites for many different businesses that run Quickbooks, and I'm trying to develop a solution that allows me to provide these customers with a file they can import.

As there are many different customers, it would be difficult for me to require that they each purchase an additional piece of software, and expensive for me to purchase it for them. I need a solution that either doesn't require an additional purchase, or, at worst, only requires a one-time purchase that allows me to serve all my customers.

If you can be of help, let me know.
