New to Accounting / Qb

I've been "demoing" the Quickstart edition for the past several weeks and have just one (premature?) question because I don't know what the best way to accomplish this is, and I don't see a solution in the Quickstart edition. I've also decided that the Quickstart is more limited than what I'd like so I'm headed over to Sams to get either the Basic or Pro version.

As a distributor I have several different products that come in 20lb and

50lb bags. The product is sold to retailers either as FOB or delivered. The product is delivered in 1/2 ton, 1 ton, 2.5 ton, 5 ton (or drop ship) increments.

I want to have the cost of delivery part of the product price, not a separate line item. In the Quickbooks Quickstart edition, for each product I need 6 entries, one entry for each delivered price. As an example:

20# Bag FOB = $1.00
20# Bag, 1/2 ton delivered = $1.25
20# Bag, 1 ton delivered = $1.20
20# Bag, 1.5 ton delivered = $1.15
20# Bag, 5 ton delivered = $1.10
20# Bag 10 ton dropship = $0.95

So for product "X" I need 12 entries, 6 for the 20# bags and 6 for the 50# bags. This seems way to cumbersome.

My question: Does Quicken (Basic or Pro) provide a way for each product to be entered just once in the product list, and shipping costs are then automatically added to the invoice based on the quantity ordered?

Hopefully this makes sense...

Thanks,

David....

Create a group for each amount delivered, consisting of the number of 20# bags in the quantity, plus the delivery charge. For example, "Half 20#" could be the group, made up of 50 bags plus $1.25 delivery charge (or is it $1.25 times 50?

Thanks Tom,

I think I understand you, I'm hoping I'll see what you mean after I get QB installed.

The way it's set up (and these are pretend $$'s) is that a 20# bag FOB costs the dealer $1.00, regardless if they pick up a 1/2 ton or 5 tons. If I deliver 1 Ton (100 20# bags), then the price is $1.20 per bag, so the toal cost to the dealer is 100*$1.20 = $120.00.

I assume I'll still enter the individual products and then create a group afterwards? If so, I'm curious as to what I set up the price of each individual item? Maybe that will become clear later on. So a group would be 100 20# bags at $120.00 ($1.20 per bag for a 1 Ton delivery) and another group would be 500 20# bags $550.00 ($1.10 per bag for a 5 ton delivery) correct? FOB's & dropship's would be groups as well....?

Thanks,

David...

Tom,

Finally got it figured out last night and it really wasn't all that difficult once I started seeing how things operated. I did however have to delete multiple items several times throughout the learning curve. But grouping these items will do exactly what I need and with a lot more flexibility that what I had with the Quickstart program.

Thanks again for your help. It was kind of exciting to hand out (and to get paid) my first invoice this morning. Now to figure out what I don't know about tracking inventory... I just received 22 ton this morning and have to somehow get it entered before I show that the invoice was paid. You think maybe I need a book? :-)
