QB Inventory problem I cannot figure out

I have QB Pro 2005 which I just bought and have initially configured. I am an Ebay seller trying to manage sales with the software and here is what I am trying to do with QB but can't quite figure out how to do it (I am not an accounting wiz by any stretch).



I buy large lots of items (what they are isn't important). I never know how many items are in any particular lot and, since I sell the items on Ebay in auction format, I never know what each item from a lot will sell for in advance (I do not use reserves and such). What I figured I could do is, when I buy a large lot, enter the lot in QB using an item number for the lot. Then as items sell from this lot, create individual line item sales tieing the ebay item number to the main lot number somehow. QB would then track sales of the items from the large lot as items from it are sold. But, I cannot seem to figure out a way to tell QB that Ebay item #123456789 comes from lot #6503. Any suggestions? It sounds like you would like to track all of the items that are sold in a particular lot.

QB does have a group feature, but, you have to set up all of the items ahead of time, and then group them together to create Lot #6503. However, I'm not sure that this would actually give you any functionality since the intention was to place the group on the invoice. I'm not sure QB can give you the particular information you are looking for, but an Excel spreadsheet could easily be set up to do it.

I am noy exactly sure what you are trying to do..but maybe as a suggestion you could:

use the lot # as a sub category and the item # when you biuld it have it fall under the sub category of the lot#

lot#6503 would be the main heading and then everything from that lot would have its own item# (the ebay item#)

These are lots of all the same item? Surely you know how many you have after you receive them. QB inventory is pretty basic, not allowing much room for "flexibility". If all the lots are composed of one item (236 widgets, type A) then using inventory would be easy. If the lots comprise a variety of items, QB won't handle it in any easy way.

I am actually using Excel to do this right now but I was hoping to be able to configure QB to do this.

As for the question regarding the lot content, each lot contains all dissimilar items of varying sizes and which I end up selling for different price.

So, lot 6503, for example, contains 10 items and it cost me $100. I sell the first item for $5, the second for $12, the third for $7, etc. I would like QB to be able to tally the total sales from lot 6503 as I sell from the lot. When all items from the lot have been sold, I'd like to be able to see how much profit, if any, I made on the lot. It sounds as it I am asking too much from QB. As I said, I currently do this all by hand in an Excel spreadhseet and I was hoping to get away from that and have QB take care of it.

I may be missing something here, but using your example, why can't you set up lot 6503 as an inventory item and show the purchase of 10 for $100. As you sell each item, you use that inventory item on your invoice. If you sold the first item for $5, QB would record a sale of $5 with a cost of $10 ($100 lot / 10 items), you lost $5. You sell the second item for $12, QB records a sale of $12 and a cost of $10, you made $2.

After the entire lot is sold, one of the canned reports should tell you your profit or loss for the entire lot.
