Physical Inventory problem

I must be doing something wrong or perhaps I missed the whole point of performing a Physical Inventory of all the items in the store.

What I have done, and what RMS gives:

  1. I have created a new blank physical inventory count for manual entry.
2.After I finish making all the items, I click CALCULATE to COMPARE the "my physical count" to the "Store Operation´s Database count".

The results I get are not completely accurate. RMS compares the discrepancy in quantities of ONLY the items I entered in my physical inventory. In other words, CALCULATE will not take into account any item that the "Store Operation Database" has, but that I did not include in my Physical Inventory.

For example: Store Operation Database has items A, B, C, each with quantity on hand = 3. I then, make a physical inventory, and only entered item A and B each with quantity on hand = 3, and press CALCULATE. It will not show any Discrepancies!!!!!! Item C would not be taken into account..

Am I doing something wrong?

I think you are doing it correct...if you had entered in 2 items for Quantity a or b, and there should be 3 then there would be a discrepency...I don't see why it would tell you anything about c if you didn't ask in the physical inventory count when you did not add this item to the list. If I'm missing the question please re-explain. Best of luck.

You selected the option to ONLY update the items you counted. If you want to verify and correct all quantities right or wrong you should define a worksheet that contains all items. Then the counts will be compared against what is expected including the things you didn't count.

We use this method to perform selected inventories as often as we want. Sometiimes by category. Other times by supplier. If you are using a handheld unit that time stamps the counts, Physical Inventory will even calculate the correct count when you are open for business ringing in sales and receiving items while you are counting. I believe there is some way to export the counts from your saved worksheet and import them into a new worksheet that includes all items, but I don't remember the steps. Maybe someone else on the newsgroup knows how to do this.

Hi Vince.. thanks for your input. The reason I would expect RMS to tell me something about any item that I did not input in my phisical inventory count, is to alert me of any "missing" or perhaps "stolen" item. It is just a matter of learning how RMS works, and how to get around to get the info I need.

I have exactly the same problem. It would not take into account anything that you did not count ie entering zero is not accepted. I got round the problem by enter 99, then change the qty.

You told it to do a manual input, so it is only reporting info back to you about those items you entered manually.

If you wish to see the entire store or department or category, select another option when you start the PI.

Hey MarkS,

I just wanted to let you know that if you work from the count Date in RMS so that i knows about items sold while you are counting, there is a bug with this when you recount the item (even if you update the timestamp).

So if you recount you need to delete the item and then add it again to put yoru recoutn value in....

Have a look and test this...

Just another RMS thing to fix - in a not so timely way.....
