Manually Match Transaction List

I have been using quicken now for almost 10 years and it has always worked very well. When I went to Quicken 2004 several years ago I have always had this problem of clearing out the lines in the Manually Match Transactions list. After I download my data, if it is not automatically matched, I can manually match it to a transaction. When you go to manually match Quicken brings up a list of transactions that you can match to. You simply place a check on the left side of the transaction. Ideally this list should match what had not yet cleared. One problem that I have had is sometimes if I am not carefull the transactions are not removed from this list. I mainly have this happen on schedualed paychecks. Normally they clear before I have a chance to enter them into the register. If I try to download my bank data, then if I go to schedualed transactions and enter it into the register then manually match it up this transaction will stay in the manually match transaction list forever even though I have entered it and it has cleared. To get around this I have been downloading the data, then entering the transacton by the scheudualled transaction list. I then exit out of quicken and open it back up. I can then go the downloaded transactions and manually match it up and it will be removed from the list. Here is the question: How can I remove these transactions from the list? All the ones I wish to remove are cleared transactions. I have called quicken several times about this but they are as usefull as my dog. Here is another thought? Can I create my own import file (QXF or QDF) I think not sure of the exact format. This way I can Delete the original transaction, re-import it and match it to remove them from the list? Of course do a good backup before. Just a thought. Any help is greatly appreciated.

If any more info is needed please let me know.

Thank you,

Darren

In my experience, merely having a trasaction "cleared" does not remove it from the Manually Match candidate list. It must must be flagged as a downloaded transaction. To do this manually, highlight the transaction, click on edit, then hold down CTRL and click on Copy. You should get a "View Posting Date" box. Check the "Downloaded Transaction" box; fill in an arbitrary posting date; click OK and Enter. That should cause this transaction to no longer appear in the candidate list.

This can be a bit of a tedious process so I hope you don't have too many you want to remove. And, you may want to verify that this works on your system before you do a whole bunch of transactions.

I'm sorry, but I do I understand why your downloaded paycheck transaction doesn't appear as a "match" to your scheduled transaction (and I don't understand your workaround). The Quicken generated transaction does not have to be in your register before you download, only before you "accept" the downloaded transaction. If you see your paycheck transaction in the Accept Transactions Into Register window and your scheduled transaction is not yet in your register, you can Enter the scheduled transaction and the downloaded transaction should change from "New" to "Match".

As to why cleared transactions appear in the manual match window, this is a frequently misunderstood point which boils down to this: just because a transaction is marked "cleared" does not mean it has been previously downloaded, you can manually mark a transaction cleared. The process of "matching" a downloaded transaction to an existing register transaction does not care whether the register transaction is marked cleared; it cares whether the register transaction was previously downloaded ... either as a new transaction or was matched by a previously downloaded transaction.

As I said, I do not understand why your Quicken scheduled paycheck transactions are not getting "matched" to their downloaded real-world transactions, but if you have transactions in your register that were not downloaded and were never matched before, the only way to guarantee they will not appear in the manual match window (I also do not understand why this matters, but that is another story), is to "tell" Quicken that they

*were* downloaded (which includes being previously "matched").

Right-click the transaction, hold down the CTRL key and left-click "Copy Transaction", put a check mark in the "Downloaded Transaction" box and enter the "Posting Date" (doesn't have to be totally accurate, but you should get it within the starting/ending dates of the fi statement it appeared in). Once Quicken believes the transaction was downloaded, it should not appear in the manual match dialog again.

This sounds good. These were downloaded but why it was not flagged I have have no clue.

CTRL and click on Copy.

I highlight the transaction in the register, (This is one that I have an item in the Mannually Match Transaction List) , I then click on edit (Quicken main toolbar) I then hold down the CTRL key and click on the Copy from the Edit (Quicken main toolbar. Nothing happens.

Please let me know what I am doing wrong,

Thank you for your help.

John,

Thank you for your reply, in your first paragraph, I do understand that it does not have to be in the register before I download (most of mine are not and I enter them on the fly and it does match them great.) The ones that give it problems are the schedualed paychecks. I dont know why it only leaves them in the matched list. I have found that by exiting and re-entering Quicken it before I accept, the transaction after a download after I have enterd the paycheck it will work, else I will have that entry in the matched list.

Sounds good that the download is what drives the matched transaction list.

Having these extra entry's in the matched list are not a big problem. But it is nice to use the Manually matched list as list of unposted transactions. Telling quicken that I these transactions were downloaded is what I would like to do.

I am right clicking on the transaction in the register (The one that is in the manually match Transaction list) I then Hold down the CTRL key and left clicked copy transaction and I was given the View posting date box. Very good, now we are cooking with fire. That worked, I had to Right click on the date field of the transaction to get the View posting date box.

Sounds good, Thank you for your help, Is this listed in the help in quicken, I did not see this?

Once again thank you for all your help.

Actually I found the issue, I was not right clicking on the date field, once I did that the correct window came up.

Thank you for your help.

I download my paychecks and my girlfriend's paychecks into Q2005 deluxe for Windows, US. Mine are almost always in the register ahead of time because they are almost always exactly the same. But, until recently, my girlfriends paychecks differed every single time; so often I did not enter them into the register until they downloaded and I could see the total amount. Even though I did not have the correct split breakdown at the time, I would just add the difference as an uncategorized split line until I could see the paycheck stub. Never caused any problem with matching: as soon as I modified the paycheck in the register to have the same net amount as the downloaded transaction, the downloaded transaction status changed from "New" to "Match".

Perhaps this is a problem for Q2004 (which I only tested but never used on a regular basis, and I can not remember how it handled - or if I gave it a chance to handle - my girlfriend's paychecks).

I do not recall ever seeing this in Quicken help ... and I do not think I have seen it at Intuit's support web site. I owe the information to posts in this group (especially those archived at Google), but specifically to poster Bill Pierson, who, I believe, once worked for CheckFree and who knew such little details about Quicken and was happy to share them. I have not read anything from Bill for a long time, but I have always been appreciative that he chose to share his knowledge here.

Should have said: "... as soon as I modified the Scheduled Transaction to have the same net amount as the downloaded transaction, and Entered it into the register, the downloaded transaction status changed from 'New' to 'Match'".
