adding to physical inventory

I second this - Just doing our inventory, and discovered the same problem. We reset our on-hand to 0, then are currently scanning and counting every item in the store. We save text CSV file for each gondola, with UPC and qty, and import it into Manager - we get a nice report for value of each gondola that we can have a second team re-check for accuracy and audit, with a breakdown by dapartment/category. But now I realize that it is not "adding" to the on-hand qty, each new import overwrites the existing qty rather than adding to it, regardless of which box is checked!

At this point, I assume I will have to process all these individual csv files separately to create a single file with the accumulated totals, and then process that file on a fresh copy of the inventory set at 0 on hand. Major pain in the A--, and totally counterintuitive. Whats more, we tried inporting a csv file to a "group" of our whole inventory ( app 73000 items) and when we tried to process that file, it CRASHED SOmanager on our Server - beyond unacceptable -

You can "Add" to the previous inventory counts as long as you don't click the Committ button. If you click the Committ button, then you will have to create a whole new Physical Inventory and it will overwrite the quantities in RMS.

I wrote a utility that will put imported inventory files into RMS's Transfer In. This will allow the inventory to be done in stages and each import will "Add" to and not "Overwrite".

RMS only "replaces" the Inventory Qty. There's no functionality to "add".

The point at which RMS offers to Add or Replace has to do with the import into the temporary table. Most Stores will have the same item codes repeated more than once during the stock take for items that are stocked in more than one place. The Add or Replace has to do with how you want to handle these duplicated ItemCode records, add to the previous qty (for cumulative total) or replace the previous qty during the import. I can't think of a situation where you'd want to choose "replace" so I don't know why it's offered.

So, the Add or Replace choice only has to do with how to handle duplicate ItemlookupCodes in the import file when populating the intermediate table to commit from. The commit phase which updates Qty on Hand will only "replace".

To get around this I wrote several Access Queries to handle various year end inventory scenarios. But I first run the .csv stock take file through the import function to aggregate the itemlookup codes as described above, and because if any of the barcodes you scan have become aliases in the tables for any reason, the import converts those aliases to their respective itemlookupcodes so they won't bounce. I capture the resultant data from the Physical Inventory - Entry table and use a simple Access update query to modify the Item Quantities in whatever way the situation calls for. I'm assuming Dave wrote a script to copy the data from this table into the Transfer In table. Great idea!

I know an inventory can't be done by editing each individual item...but if I only have a couple items that I want to change the quantity for, can't I just go into the Operations, Database, Items...bring up the property...click on the Inventory tab...and edit the "on hand" value? Come to think of it...isn't that feature dangerous whereby someone can change the quantity without any record? I couldn't find where I can set security limits on this field.

You can set security on virtually ANY field in RMS. In SO Manager, make sure you log in an an administrator, then go to File/Security. A dialog will pop up telling you that you are now in security mode and telling you how to activate the security feature. It's pretty straight forward from there and is discussed in the on-line help. One thing to remember is that all Security is based on the "Security Level" field in Cashier Properties - if you have everyone set to the same security level, they will all have the same acces to fields.

A manual inventory change actually does appear in the Item Movment & Item Movement History reports...

ordering options should have the ability to import.

Also, we are used to using a Percon Data Collector to scan items on shelves that need a shelf

tag to be printed. There is no import utility to bring in these items for printing barcodes. Have

you addressed that issue? Hard to believe that is not standard and very easy to do.
