Headquarters Functionality

Hello,

Does RMS + Headquarters allow a POS terminal to search for inventory accross multiple stores? We're setting up 3 stores and need the ability to do this. I've been told the Headquarters piece lets you manage multiple stores, but didnt know that if that particular screen is available directly from each register (stock status only).

I appreciate any feedback on this.

Adding HQ adds a 'Check Stores' button to the Find Item screen at POS. You look up the item you want, and if it's unavailable at your store you click 'Check Stores' and get the latest info from HQ.

Caveats:

  1. the data is only as good as the most recent update. If your stores sync with HQ hourly then the info could be an hour old.

  1. There are things you can do at Store Ops that don't always get reflected at HQ. It's not particularly unusual for the store ops database and the HQ database to disagree on the qty on hand.

  2. You cannot commit or sell inventory from another store. You'll have to find a way to manage inter-store transfers, work orders and/or back orders, etc.

#2 may not be a big deal if your company is better with inventory control than mine. I am still fighting a lot of old bad habits here and our inventory accuracy reflects them all...

thanks for your answer. Very informative, but also left me wanting to find out a few more things.

a) Does RMS and/or HQ offer means to transfer inventory between locations? b) Does the HQ product allow you to share gift cards? (ie, buy at store #1, and redeem at any other store)? c) Are the qty on hand discrepancies between RMS stores & HQ a reflection of poorly written and/or thought out software, or because of the "human" element (ie- user error)?

Yes. Inter-store transfers are part of HQ. THe functionality is far from perfect. For one, if you sell serialized inventory, the serial numbers entered by the transferring store don't carry through to the receiving store--the receiver has to enter the serial numbers when the product arrives. There is also no double-check that the issued & received totals reconcile.

I don't think so, but someone else will have to answer for me. We don't use the voucher feature--we have old fashioned gift certificates.

A combination of both, I think. If you receive (via PO or transfer order) inventory at the store, the store tells HQ. If you sell something, the store tells HQ. If you perform a physical inventory and change quantities at the store, the store tells HQ. If you manually change the On Hand quantity in the item properties at the store level, the store doesn't tell HQ. There is a way to have HQ request a full item count from the stores and to reconcile the store qty with the HQ qty.

The fact that the qty on hand needs correcting is evidence of human error somewhere along the way.

Hello,

I have implemented HQ and SOM v1.3.1009 across 5 sites and I am not seeing a check stores button in POS. Is there any documentation on the check stores button?

You have to write the IP address of the HQ Client PC on your location in the configuration of the SO Admin utility, so the "Check Stores" button will be appear automatically.

You have to set it up in the SO Admin.

File | Configuration | HQ Client Tab | Enter the IP address of SQL Server name in the Address field. This is the IP address of the SO database server that is running the HQ Client program.

The Check Stores button will appear when you restart SO.

The way the check stores button works is that it asks HQ Client to contact HQ and check the current quantities in the HQ snapshot. It will not give you up to the second information, and you must be able to reach the HQ Client on the network.

POS checks HQ for balances. But I am not seeing the check store button in POS or SOM. Where should I see it?

Thanks Jeff,

No luck though. I have the Find button, New Search button, and a space between New Search and the next button over, that is where I have been looking for it. Have you seen any documentation on the Check Stores button? I have skimmed through V1.3 Implementation guide and did not see any reference to the Check Stores button. Any other information out there on it possibly?

Ed, We had the same problem and it was a simple fix in Store Operations Manager. Go File-Config-Options-Item Options, make sure "always display find window" is not ticked. When it is ticked it skips over the window that contains the check stores button. Hope this helps.
