Record Item Comments

When you select the Record Item Comments option in the configuration for RMS SO, in what table and field in the database does this imformation get stored?

Also, RMS warns that this option will cause the database to grow. How significant is this growth?

The significance would depend on how often you use the comments and how much text you enter. It's only a 255 character field, so 255 Bytes per comment is the max. You could potentially get some additional wasted space because of the way SQL Server allocates space for a record, but it should be pretty small.

That's what I thought, but I am having a strange problem...

I use an ILC called MISC sometimes where I ask the cashier to enter a description (type over the description at the POS). On most transactions it works fine, but sometimes the comment is not entered in the database. I thought I was going crazy, but I confirmed that some tranactions on the journal where MISC was used have the new description displayed on the journal (and paper receipt copy), but they do not appear in the TransactionEntry.Comment field for that line item in the database. I have confirmed and reconfirmed this with someone standing over my shoulder (maybe I am crazy).

Obviously the Journal is not pulling data from this table, so it must be saving the journal text somewhere else.

I thought it was going to be easy to go back and see what all of my MISC transactions were for, but I am having to go back to the journals because the field is not updated in the TransactionEntry table. Very strange...

Any ideas?

The journal is actually saving a compressed IMAGE of the receipt - I don't know of any way to access that image other than using the Journal Viewer.

I thought that changing the item description at POS would generate an Item Comment, but I tried it today and it did not. That may have changed in a version release, or I may have been mistaken about the behavior to start with.

Crtl F10 definitely created an item comment that will be saved.

Yeah - it doesn't appear to work as I anticipated...

This has created a huge problem for me. The local taxing authority wants to look at all of my MISC sales that were made as non-taxable, and I have no way to pull the data from the database. I am going to have to find and print hundreds of journal duplicates.

Not good.

If you used the same item for all of them, you can use Detailed Sales report and filter by Item Lookup Code. If you used a Tax Change Reason code to make the items non taxable, you can search by the reason codes as well - you may need a modified report for that...

They were the same item code. Unfortunately, they want to know what actual ITEM was sold. A reason code is of no use...

Run a detailed sales report - filter by the MISC item lookup code that was used for all of these sales.

Go to Show/Hide Columns Select Transaction Hide some of the other columns so the report fits on the screen if you like. You now have a list of all the transaction that you need to generate receipts for. Double click each Transaction Number to open the journal viewer directly to that transaction.

Still a pain, but at least you don't have to look at all the transactions that aren't effected...
