Special Orders and Customer Information

Ok I've been on the phone with Microsoft on this one and they are of no help. I am in the Juvenile Furniture Retail Industry. Scenario: When I create an order for a customer on an item that we are currently out of stock on but normally carry. For example an Oak dresser. We have 10 of these dressers coming in. How can I reference this sale to one of these dressers that are coming in? I know that if I sold it in full I will be at a -1 On Hand or if I create a Layaway for this customer I will have 1 Committed. But I still don't see a way to easily tag one of these dressers for the customer without going through paperwork and finding who had this item on order. I know that there are Add-Ins to RMS that will probably allow a customers name to be assigned with the item so when you scan it into inventory it tells you that a certain customer had that item on order so don?t sell it or put it into your warehouse stock. I just figured instead of trying to reinvent the wheel that there must be someone else having or have had this problem and maybe they found a slick way to get customers names attached to ordered merchandise, via reports, Reason Codes, or something. Sorry about the extra long post, but any help would be greatly appreciated. I researched PO's, Layaways, Work Orders, and Back Orders on this Newsgroup and could not find any valuable info for this situation.

I'm in the retail furniture business, too. One my asst. mgr.'s recently asked if there were a way to 'side mark' line items on a PO with a customer name/order #. There is not. Such a feature would be wonderful. Perhaps one of us should post a 'suggestion'.

Here's how I manage special orders. It's not perfect, but we manage...

  1. We don't use Back Orders - we use Work Orders for everything.
  2. I have created macros (that I can trigger with custom buttons) for Delivery Order and Special Order. The primary difference: is the stock on hand?
  3. For any out of stock item, we create a Special Order. This is just a Work Order with a Reference of SO.
  4. The Special Order Report. This is just the Work Orders - Detailed report with the Reference column added to it. I filter by Status = Open and Reference = SO. I get a report of all open Special Orders with line item details. There are columns for Ordered, Delivered, Outstanding, On Hand, Available and On PO.
  5. Filling the orders - after the day's receiving is done in RMS, run the report. If any orders show On Hand/Available sufficient to fill the order, it's time to call the customer. I think you should leave the suggestion. Since I am new to using the program and you sound like you have a lot more expertise with RMS. I do thank you for your post and I am going to try doing it that way just to see if it is something that our employees will be able to follow. Also if you want to let me know how you do Delivery Orders that would be great. You also mentioned in your post that you have created macros to bring up the correct screen (Special Orders, Ect). If you have those Macros files available I would also love to look at them. I greatly appreciate your detailed post. You have been a big help on this post and in previous post I have left.
