A/P Reports Filtered by Class

Using QuickbooksPro 2005/2006 Australian Version.



Is it possible to view A/P reports filtered by class?



I can view A/R, Tax, P&L etc filtered by class but am unable to view A/P reports filtered by class.



On each Bill of A/P I have entered the relevant classes in the classes column.



Is this possible or am I missing something?

Methinks you are missing something. I can do it in my version.

Click on the Modify Reports button at the top left hand corner of the report window. Select the Class Filter in the Choose Filter window of the Filter tabs. Choose your class and away you go.

What you can't do, is choose class columns in the payables ageing reports or the balance reports. It would be pretty hard to add another set of columns to the ageing reports (pretty hard to read I would think!), and it is not available anyway in the other reports.

Since each open invoice could have impacted multiple classes and could be paid in part, no you are not missing anything.

I have followed the steps you outlined above but still cannot view any Suppliers & Payables reports filtered by class. They are always blank unless I select all classes.

I can filter Customers & Receivable reports by class OK.

I agree you cannot choose class columns in the payables ageing reports or the balance reports.

Specifically, which of the Suppliers & Payables reports can you filter by class on?

How right you are Rick. I just looked at the filters and found them available when I replied before - I confess I did not test it properly. My apologies

I think the reason is that QB does not use classes on asset and liability accounts - they only work on the income and expense side of the transaction. It seems a bit quirky that "All classes" work (I guess this is a "non-filter" filter if I can be a bit obtuse, meaning that there is really no filter at all) and that the others are filters looking for a class that is there but it is not on the liability (payables) side of the transaction.

I have the same thing happening on the receivables side too in the customer balance detail report and all the others looking at customer balances or open invoices.

I think you will find that wherever you are addressing the liability or asset part of the transaction, you will get this result. If the report you are using is addressing the income/expense line - then it will give you the filter you require.

Bingo. Only COGS, expense and income accounts have classes associated with them. All other accounts (assets, liabilities, equity) have no class.

Most transactions effecting balance sheet accounts can also have a class associated with them.
