How to expand drop-down list of categories?

Jan 30, 2008 10 Replies

I am using Quicken Deluxe 2006. Can anyone explain how to expand the drop-down list of categories to the full list I have set under Tools>Category List? As it is, once I have entered a category with a particular name, it is "remembered." For example, the category for one person opens to Household:Repairs & Maintenance. However, I also paid this person for another expense (also under Household -- which has additional sub-categories), but when I start to type in "H," the only "Household" item that will appear is for Repairs & Maintenance. I would like to be able to see *all* of the sub-categories, just as they appear the first time I enter a name and enter a category for that person or business. I do like auto-complete when I start to type in a name, but I don't want to be limited under categories to the category that was previously used.

Thanks, MaryL

What happens if you memorize a transaction for that payee with a blank category?

Count me in as one who'd like to see a keyboard shortcut (like the Excel filte) to show the elements of a dropdown such as Categories. That being: ALT+ Up Arrow.

I previously used a category for this payee, so it is memorized under his name. If I next save a transaction for him with a blank category and then go to his name again and open it -- the previously-established category is the only one that opens when I try to select a category. I remember previous versions that did not have this problem, and I surely hope there is a way around this. Surely, those at Intuit know that different people/companies sometimes need to be placed in different categories.

If you always want to choose the category at the time you enter a transaction for a payee, don't memorize any transaction for that payee (or only memorize a transaction with a blank category).

I meant to add that if you want to enter categories in transactions at the time you enter them, you should not tell Quicken to "Automatically memorize new payees" (Quickfill preferences).

Apparently I don't understand how memorizing a transaction is done. I simply enter a transaction and I do not click on anything to memorize. Is there a setting that I may have set that is causing all transactions to be automatically memorized? I suspect there may be because everything seems to fill in automatically. Can you direct me to a location to check?

Thanks for the help.

Thanks. I have had partial success. I went to preferences and unchecked "recall memorized payees" and "automatically memorize to the calendar list." The option that seemed likely -- that is, "complete fields using previous entries" -- was already unchecked. If I leave both of these items unchecked, I still cannot get to the categories that I want to use for this person, apparently because his name was previously memorized. I experimented with *new* names, and I can avoid the problem I mentioned for them (although unfortunately can no longer find a category by typing in a letter; I must manually scroll through the list). But I did not "undo" the damage for the person I really need it for, who does a variety of types of work for me. Do you have a suggestion for that?

Again, thanks for your help!

Don't do this; those options are called Quickfill and they are what allow Quicken to start filling in names after you have keyed one or more characters.

They are also what allows Quicken to take information from your memorized payee list and fill in amounts, categories and memos according the contents of the memorized payee. If that isn't working as you wish, the "solutiion" is usually to get rid of the memorized payee.

One thing you probably do want to turn off is the automatic memorization of payees. That is done on the same preference screen where you made the above changes.

See above.

You haven't said whether you deleted all memorized transactions for that payee. That's the place to start.

Sorry, I misread this before. I think my previous comment was correct, but might be misleading.

Don't uncheck "recall memorized payees"; do uncheck "Automatically memorize new payees", which, I believe, will automatically stop memorizing payees to the calendar.
