Sub Categories

Is there any way we can use addtional sub categories? or is there an add-on to do this. we want to further classify the items. We also thought of using the SubDescriptions to classify, but we cannot set a pre determined set of values to that field. any suggestions.

I use the Subdescription for more information of the item property, You can check "Display list of previously-defined items sub descriptions" in the configuration, so once you enter a new subdescription you can then choose from the downlist of subdescription in the item properties.

I would recommend that you can use conventions in the name or item code to further categorize your items.

For example, start each description with a 2-digit code (01, 02, 03, etc) that corresponds to the subcategory you want to track.

Most reports allow filtering on the description, so you can do filters based on the descriptions that contain the category, or if required, sort on the description field.

This might not be perfect for your situation, but it could be a workaround since subdescriptions are not always avialable as filters.

Echo, So, Now you can use the subdescription for your defined sub categories.. You can change the display of sub description to "Sub Category" by click FILE | Configuration then press Caption, click Item tab and rewrite the new display name that you want to replace the sub description label..

Note that this option can cause the system performance to degrade. It will not be a problem if you have a relatively small number of unique sub description values, but keep in mind that every value you have ever used is going to populate in those lists.

Can you expand on this? We use the drop down list option on Sub-Description

1, and 2 which we have relabeled Manufacturer and Mfr Number. We want the spelling of the Manufacturer to be consistent. We wish we could set them up in a table like Supplier so there would be no chance of misspelling.

We've relied on the drop down list for the number to try and keep the format somewhat consistent with other like items. I guess we really don't need this list if performance is at stake.

Our db is roughly 35,000 items of which 25,000 use these fields.

How would I make a drop down list for Sub Description 2 ? And where would the options be stored?

If you ever have a performance problem when opening the item list or item properties, turn off the option to show previously used subdescriptions and it will go away.

If you have always used the drop downs to provide a limited set of options, it is not likely to become a problem. If you had a different value for all 25,000 items and then turned the option on, it would be as the subdescription dropdown would be loading 25,000 unique values.

This feature works well if you plan for it and exercise some discipline during data entry. If you let the set of currently used sub descriptions get out of hand, you will have trouble.

Store Ops Manager, File Configuration, Options. There is an option that says "Show previous sub descriptions", or something like that. If you enable that option, you will get drop downs for all 3 sub description.

The previous values are stored in the Item table - the system just uses a select distinct to get them...
