Draft invoices in QBooks?

Does anyone have input on how to prepare draft invoices in QBooks (we use Pro '05)? Once you prepare an invoice, it is "final" and cannot be reversed to make changes.



We used to prepare Unbilled Costs and Unbilled Labor reports, but we had to export them to Excel to merge them - and the Unbilled Labor report only included hours and we had to manually input labor rates in Excel. This was time consuming and prone to errors.



We purchased BillQuick and it works, but it's tedious to use and now we have issues transferring data between QuickBooks and BillQuick. It would be great if QuickBooks could provide this feature.

No, it's not. You have the option to 'mark invoice as Pending'.

I'm not at the office at the moment. IIRC the option is under the Edit column. You can always look it up in the QB helpfile.

No, but it can be modified or even voided.

An invoice can also be "Marked as Pending" (under the Edit menu). Pending invoices are "non-posting" transactions - they are not recorded as sales, no tax liability is recorded, and no inventory entries are recorded.

Pending invoices can be edited, voided, deleted, or changed to "Final", at any time. (Use caution when making any such change to an invoice dated in a previous period.)

To keep track of pending invoices use Reports > Sales > Pending Invoices.

I think that one needs to think twice about using the Mark as Pending option in the UK and other jurisdictions with VAT. In my version -

2003 Pro UK - the "invoice" generated appears to all intents and purposes to be a valid tax invoice entitling the recipient to claim a VAT input credit of the amount shown on the "invoice". This would seem to contravene the VAT statute, and the fiscus may therefore take a particularly dim view of it because of its potential to facilitate tax fraud.

Preferences - something about printing status on invoices. I'm not at a machine with QB at the moment, but you can toggle printing of "Pending" on the invoice.
