How to keep files in sync

I have a client who buys and sells a lot of items they want to set up Quickbook to use SmartScan Barcode reader so they can scan directly into Quickbooks. The problem the Company files are keep on a server and accessed by all users. They take a laptop on the road with them and want to scan item into Quickbooks, they are on the road days and sometimes weeks. During this time there are users in the office as well making changes to the server version of the data file. How do they get the file on the laptop and the server in sync once the laptop is back in the office? Is there some sort of program that will combine the two company files and not make duplicate entries?

That would be great put that would require one to be connected to the internet. Not always the case.

Get a data card for the laptop, anywhere there is cell phone service you are connected to the office. Yes it will be painfully slow, but if you need it, you need it. Dataports in hotels are a wonderful thing too.

Also this option gives the user on the road access to the current customer list with that address & phone number change notice that came snail mail to the home office so he doesn't go to where the customer just moved from.

Finally, does he absolutely need to scan and enter into QB right at the customer, or could he scan and hold the entry to QB until he does get a high speed net connection? (I'm guessing he isn't doing COD's on the road but I could be wrong.) He can leave the sales orders, invoices marked to be printed and the home office will print and mail them next days run.

See there are some pretty big advantages to connecting back to the home office, but the downside is if you only have a slow connection or get so far into the boonies the net isn't available.

I'm actually a little surprised that no one has written a utility that takes data from a bar code scanner and dumps it through a utility say via QODBC into QB and then emails a .pdf of the invoice to the sales person so he can print it and hand it to the customer. Now there's a utility that has some potential sales. It also implies security as the sales force then doesn't need direct access to the QB file.
