QB 2010 pro does strange things with backups

Hi: I use QB 2010 pro to create invoices. After each day that I write an invoice, I then do a backup.

My backups are saved in several folders named for the year, such as

2009, 2010, etc.

Under each year there are 12 sub-folders named for each month.

When I save an invoice, and specify that I want it in a folder such as

2010\February\, QB nicely saves it there.

The next day I do another backup and QB remembers where it should go, this is what I expect. I have to tell QB once each month to change target folders.

Every so often however, QB will decide to save to an older folder, specifically it is to 2009\December\. I never go back to save in an older year or month so why does QB do this? How does QB decide that it should suddenly jump back in time or to a different "default" save folder?

Very annoying to have to not trust QB. For some reason it has never tried to save in 2010\January\ now that I'm in Feb however it will default to 2009\Dec whenever it feels like it. :-(

I suddenly have a thought, I installed QB 2010 in Dec 2009. Does this give any hints?

Oops, I mean "save a backup". Backup files are my issue here and the location they are saved to.

You do not need all those different backup folder locations. QB backups can configured to automatically put a different date/time stamp on the backup file. Read the help files on how to backup you are running amok.

Perhaps you are opening up different QB files and each has a different backup folder location memorized. Lets hope this is not the case.

QB does some weird things, I have no idea why yours is doing that. You are backing up to another drive too, are you not? If your drive fails you will lose ALL your backups and be left with nothing......

Use an external hard drive or USB flash drive at least once per month.

It gives *me* a hint. However, I am such a rank beginner. But that's not a bad thing. Rank beginners who have been trained to be observant notice certain wierdnesses that more experienced users would gloss over.

One thing I noticed is that every Nth shutdown QB will remind you to backup. I don't know if it's a set number of times or if the user has that setting available in Preferences.

But for the moment, let me ask you to recall just how often "every so often" actually is. Then, I will ask you to verify if the number of shutdowns per reminder is user settable (or not - makes no difference).

Compare the two numbers. If exact or off by one, then I'm going to make a SWAG that when the Nth shutdown occures, there is a flag set, "Remind User to Backup after next use." Now, when the Nth or Nth+1 shutdown is in progress, it (erroneously, perhaps) calls up settings made during install (or settings made the first time after install).

Again, just a SWAG.

According to the book, "QuickBooks 2008 for Dummies" (Stephen L. Nelson, Wiley Publishing, 2008), page 287 says that the default number of backups per folder is three. And you can select the Remind Me to Back Up When I Close My Company File Every [X] Times. Every fourth time is default.

You may be able to set this to 0. Otherwise, look in QBW.INI.

I think you have something here. I'll watch and keep track, and maybe "fix" it. In any case, it isn't a fatal error for me.

I have bigger problems with Win 7/64, it seems to have its own default save location, everything (except QB and Word backups) get saved there unless I watch it closely. At least I know where to find saved files.

Thank you for the QB SWAG, I do much of that myself.

I have a solution and your suggestion helped me find the answer.

QB remembers where the last backup was saved and will use that same destination every time, except when it thinks it has a better idea.

When QB decides to change my backup destination, it looks to a setting where I made my very first backup. It then uses that as the current backup destination.

That setting can be found under the backup tab. I can change that "sort of" default to be where I want all backups sent and then QB, and myself, are happy.

I will need to change that setting every time I choose to have a new backup location.

I didn't prove why QB chooses to suddenly save in the default, rather than the last used, but I think it is related to your suggestions stated above.
