Changing memorized descriptions

I have a large group of invoices that have been memorized to generate monthly, each for a different customer. Each invoice has one item on it, and I need to change the description of the item each month. For example, suppose the item description is "Monthly service for July". I want to be able to change "July" to "August" at the appropriate time. I tried changing the item description before the memorized group generated, but the description on the generated invoices did not reflect the change. Any suggestions?

The only way to change the description is to call up the memorized invoice make the changes on the invoice and memorize again. Unfortunatly this can not help you since the description needs to be changed each month. Naturally using a generic description such as "Current Monthly Service" can always be used since the invoice date does change each month.

Nothing easy comes to mind. Anything memorized on a transaction comes back exactly as memorized. I'm not even sure if you could pull from a custom field in the customer card and have that automatically update. It sounds like you need to leave the month off the invoice description and possibly use a date field (such as service date), which is automatically updated. Other than that, the only option is to write a custom application to generate the invoices.

Change the description to "this month" instead of "July". (You will, of course, need to change and rememorize each invoice, but you'll need to do that in any case.)

As Gary indicated, using the automatically updated Service Date is a good option.

If you can't use that option, check out our "Invoice Duplicator" which allows you to create one invoice (with the appropriate description, price etc. on it) and then easily duplicate that one invoice for all or a selected portion of your customers. See
