Payroll Updates and New Computer

====ISSUE ====QuickBooks Pro 2005 (1 user) AND QuickBooks Standard Payroll.



I will be changing PCs TWICE in the next 3 months. Data file is on a server, I know how to point to it when I move.


QUESTION #1: How will this affect Payroll updates? Example: Today I launced QuickBooks and it said "QuickBooks has recently downloaded a software update - Caution, All machines must be running the same release of QuickBooks". NOTE: I have not yet installed this update!!



QUESTION #2: How can I make sure the same release is on all machines AS I CHANGE MACHINES **and** IF I'M USING QUICKBOOKS ON 2 MACHINES FOR A BRIEF PERIOD?


QUESTION #3: Can I use QuickBooks, during this transitional period, on



2 machines and be confident that the payroll updates are installed on both?

The easiest way to handling this is to always make sure that ALL updates are installed including the payroll updates at all times. So when you are setting up the new PC, update your old machines first. Then update the new machine to match the old machines. If you feel that you need to be in control of the updates, turn off the auto updates and do them manually.

I am using 2 PCs these days -a laptop and a desktop without any problems. Data files reside on the laptop. I just make sure that they are updated on the same day so that I know that they are in synch.

This message does *NOT* refer to payroll updates, which are a different animal. It is entirely possible to have and use multiple machines and to NOT have the same payroll update installed on each. It happens frequently in my office, because only one person/workstation processes payroll.

The same way you do with any other software --- you check that if/when you download and install updates you do it on all machines. Personally, I turn OFF the auto-update feature on all workstations, and manually check for updates regularly. This way, I ensure that there is no single workstation that has been updated to a version beyond what the others are using. QB *WILL* give you a message if your file has been opened/changed with a different version. If you get that message, close the file, open QB on each machine and download and install the latest updates.

Payroll updates are SEPARATE from QB program updates. They are NOT automatically downloaded. You must go to the Employee Menu and Select 'Get Updates'. You WILL receive a warning message if you have processed payroll with a newer tax table version and attempt to use an older one. So, if you update payroll on one computer, and use a second to issue paychecks, you will be given the opportunity to bring the second computer up to date.
